How can managers track SIA licence renewals?
An SIA licence renewal is not finished when someone says they have applied. Managers need a clear view of who holds which licence, when it expires, whether it still matches the register, and whether that person can still be put on a shift that needs it. NightWarden can verify licences against the SIA public register, warn before expiry, and highlight a shift as non-compliant when the licence does not fit. People and procedures still decide who may work, and when a renewal has to be chased.

Keep each staff licence record accurate
Renewal tracking only works if the staff record is complete. NightWarden can verify a licence against the official SIA public register when a staff record is created or updated, and capture the licence type, sector authorisation and expiry date. The licence details used in compliance views also sit on the staff member's Field Staff profile.
Before you rely on alerts, check that every active officer who needs an SIA licence has the correct number and category on file. If the record is wrong, expiry warnings and scheduling checks will follow that wrong data.
Verify against the SIA public register
NightWarden integrates with the SIA public licence register. Alongside automatic checks when records change, NightWarden can run recurring background verification on active staff records, so a suspension or revocation is harder to miss between manual reviews.
Partners can also use the SIA Licence Checker under Staff in the Partner Dashboard. The Check Licence tab runs a one-off check with a 16-digit SIA licence number and returns a live result from the register. Compliance Overview lists active licences on record with last-checked date and status. Check Now re-checks one licence. Verify All re-checks every licence on the list. Each check is saved permanently, and the history shows the date, who ran it and the result.
In Settings, SIA Check Frequency can be set to weekly, fortnightly or monthly. Amber and red row highlights flag licences overdue for re-checking against that frequency. Treat those colours as a prompt to re-check, not as permission to ignore a licence that has already expired.
Watch the 30-day expiry window
Staff coming up to licence expiry receive reminders in NightWarden. Managers receive a separate alert 30 days before expiry, with escalating reminders. In Compliance Tracker under Operations, items expiring within 30 days are highlighted in amber and expired items are shown in red. That dashboard also covers other tracked items such as DBS certificates and driver licences, so it can support a wider look at pre-shift compliance. For this question, keep SIA licences as the main focus.
Do not wait until the day the licence expires to start chasing a renewal. Use the 30-day window to confirm the officer has begun the renewal, and that cover is in place if the new licence will not arrive in time.
See non-compliant shifts on the roster
This is where an expired licence shows up as a problem on the roster. In NightWarden, a shift role can name the SIA licence categories required, for example Door Supervisor, CCTV Operator, Security Guard or Key Holder. When a manager assigns a guard, NightWarden checks whether they hold the required licence and whether it will still be valid on the shift date. If not, the shift is highlighted as non-compliant. The assignment is not blocked.
Expired or unlicensed staff are flagged on the scheduling calendar. Treat that highlight as a prompt for a person to act, not as the whole compliance process. Someone still has to take the person off the cover plan, chase the renewal, and decide what happens at the client site.
A workforce credential matrix can show licence status, expiry timeline and sector authorisations across staff, for the categories you use, including Door Supervisor, Security Guard, CCTV Operator, Close Protection and Vehicle Immobiliser.
Update the record after renewal
When a licence is renewed, update the staff member's Field Staff profile with the new expiry date. If you leave the old date in place, the person stays flagged as expired or nearing expiry even after the SIA has issued a new licence. After you update the record, run a fresh register check so the saved verification history matches the renewed licence.
Compliance reports can be exported as PDF or CSV for insurance audits, client tender packs or internal quality reviews. Reporting shows current licence status. It does not guarantee legal compliance, audit success, or that every officer will renew on time.
Honest limits
NightWarden's product page notes that deploying an unlicensed guard is a criminal offence under the Private Security Industry Act 2001. Software can surface register status, expiry dates and scheduling conflicts. It does not replace human judgement, risk assessment or the procedures your managers follow when a licence is late, suspended or revoked.
